Elections Procedure

The BHSPA Elections Committee announces the beginning of the nomination process for TWO elections to be held in May. Parents and guardians of JGMS 8th Grade students and BHS students are eligible to run for open positions. The two elections are:

BHS Advisory Council

BHSPA Officers Team

 
BHS Advisory Council: There are 2, two-year parent positions open in this election. The time requirement is one monthly two-hour meeting (currently Thursdays from 4-6 PM) during the school year. School Advisory Councils are state mandated school reform committees whose yearly mission is to advise the principal in the formulation of a school improvement plan. The School Improvement Plan is presented to and approved by the School Committee and becomes part of the superintendent's Goals and Objectives for the following school year.

 
BHSPA Executive Board: The Officers Team or Executive Board of the BHSPA consists of the following positions: President(s), Vice President(s), Secretary, Treasurer, and Communications Coordinator(s). As many as two candidates can run to share one officer's role but only in the positions as indicated above. Terms are one-year with a second one-year term possible.

Members of the Executive Board work together as a team to set and accomplish goals and objectives. Executive Board members meet monthly for approximately two hours; at the Principal's Roundtable; and once monthly with the BHS Principal. Additional time commitment varies based upon event, activity, or duty.

Roles and Responsibilities:

President acts as the principal executive officer • supervises and controls all of Executive Board business • acts as spokesperson for BHSPA and as a resource communicating information between school and parents • presides at all meetings of the members and prepares agenda for all meetings • coordinates activities of all committees • signs contracts or other legal documents and obligations authorized by Executive Board • appoints and dissolves any ad hoc committee authorized by Executive Board.

 
Vice-president performs duties of president in the absence of president or in the event of his/her inability or refusal to act • performs other duties agreed upon by the president or Executive Board.

 
Secretary keeps minutes of all business meetings of Executive Board • is the primary custodian and caretaker of all records of the Association • distributes minutes to members for correction and approval • sees that notices are duly given in accordance with by-laws of the Association or as required by law • performs all duties incident to the office and that the Executive Board may request.

 
Treasurer has charge and custody of and is responsible for all funds and securities of the Association • is responsible for collection, safekeeping, and expenditures of all funds of the Association • keeps accurate records of receipts and expenditures • deposits all funds in the name of the Association in such banks, trust companies, or other depositaries as selected by Executive Board • ensures all books and records are open to inspection of membership at all times • prepares financial reports for each meeting and presents annual financial report for the Annual Meeting • performs other duties to assist members of Executive Board.

 

Communications Coordinator is responsible for editing and distributing membership newsletter • edits, publishes, and distributes whatever publications the Association prepares • performs other duties to assist members of the Executive Board. Familiarity with Microsoft Word (or other processing program) and comfort level with using Yahoo Groups and the Internet helpful. Training available. Time commitment: 3 monthly meetings (see above); plus member list set-up late Aug/early Sept plus 1-2 hours weekly.

Some notes on election procedure:

•The Elections Committee of the BHSPA does NOT put forward a slate of candidates for BHSPA officer positions in the same way a Nominating Committee would. Therefore, anyone who steps forward as a candidate will be put on the ballot. The same procedure applies to the Council Election.

 •The Elections Committee will NOT be individually contacting perspective candidates.

While the Elections Committee can be generally informative and encouraging, candidates must make their own decision to step forward for the BHSPA Officer Team or Advisory Council.

 
•Nominations for Council or for Officer Team positions will also be accepted from the floor of the May Roundtable meeting date TBA, prior to the actual election.

 
•Current 8th grade parents/guardians are eligible to run for either Council or for BHSPA Officers Team. However, 8th grade parents/guardians MAY NOT vote in this election since terms of office begin July 1 for both Council and BHSPA Officers Team. Several board members will be “retiring” at the end of this year or moving to new positions on the board, so we will be looking for some new faces to step into these positions. Also, remember that we are always looking for new thoughts and suggestions for ways that we can continue to support the BHS community. Please feel free to contact any board member with your ideas or interest in joining the board.
